By creating a calendar in Google Sheets, you can share it with your team and allow everyone to contribute and make updates in real-time. This ensures that everyone is on the same page and can stay organized and informed.<\/p>\n<p><strong>2. Accessibility:<\/strong> With Google Sheets, your calendar is accessible from anywhere with an internet connection (and even offline! <a href=\"https:\/\/support.google.com\/docs\/answer\/6388102?sjid=7192239244524360836-NA\">Here\u2019s how to turn on offline access for your documents<\/a>). Whether you&#8217;re at the office, working remotely, or on the go, you can easily access and update your calendar on any device. This flexibility ensures that you are always up-to-date and can make changes as needed.<\/p>\n<p><strong>3. Customizability<\/strong>: Google Sheets offers a range of formatting and design options to make your calendar fully yours (in comparison with a premade calendar tool, for instance). You can choose different colors, fonts, and styles to make your calendar visually appealing and easy to navigate. Cost-Effective:<\/strong> My favorite reason to use Google Sheets as a calendar? It\u2019s free. This is particularly important for small businesses or individuals who may not have the budget for a dedicated calendar tool.<\/p>\n<p>So, if you&#8217;re looking for a simple yet powerful way to stay organized and manage your schedule, give Google Sheets a try. Next up, we\u2019re going to cover how to create one in your Google account.<\/p>\n<\/p>\n<p>Making a calendar in a tool that&#8217;s commonly used for spreadsheets sounds a little intimidating, but don&#8217;t worry, the process is actually pretty intuitive. And with the help of some tips, you can easily make a functional calendar that you can sync your schedule with.<\/p>\n<p>At the end, your calendar will look something like this:<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hubfs\/calendar-google-sheets_13-webp.webp\" alt=\"Google Sheets calendar example: January\"><\/p>\n<h3>1. Open a new spreadsheet and choose your month.<\/h3>\n<p>First, open a <a href=\"http:\/\/sheets.google.com\/?__hstc=20629287.f6c45e1e7bb9038835ecf687fd0e9b09.1669677584025.1669928187299.1669931688618.9&amp;__hssc=20629287.1.1669931688618&amp;__hsfp=231856096\">new spreadsheet<\/a>.<\/p>\n<p>Then, choose your month. For this example, I did January [YYYY], so I filled that into the first cell. What&#8217;s great about Google Sheets is that it automatically recognizes dates, so typing in a month, followed by the year in YYYY format will tell Google that you&#8217;re going to be working with dates.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hubfs\/calendar-google-sheets_5-webp.webp\" alt=\"how to make a google sheets calendar: open spreadsheet\"><\/p>\n<h3>2. Begin to format your calendar.<\/h3>\n<p>Next, format your calendar. I selected the text, January [YYYY], in Column A, Row 1. I highlighted seven columns (A-G), and clicked Merge to make that cell span across the entire column. You can find this button to the right of the Fill tool.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hubfs\/calendar-google-sheets_15-webp.webp\" alt=\"how to make a google sheets calendar: begin formatting calendar\"><\/p>\n<p>Here, I also center-aligned my text using the tool next to Merge. Later on, I\u2019ll increase the font size and bold the month.<\/p>\n<h3>3. Use a formula to fill in the days of the week.<\/h3>\n<p>Next, fill in the days of the week in each column (A-G). You can do this manually but I decided to use a formula. Sheets has a function that lets you type in formulas to complete certain actions at once.<\/p>\n<p>To fill in days of the week, in the cell where you want your first weekday to be, type: =TEXT(1, &#8220;DDDD&#8221;). What this tells Google is that your number will be replaced by a date or time and the format you&#8217;re using is weekdays.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hubfs\/calendar-google-sheets_1-webp.webp\" alt=\"how to make a google sheets calendar: insert weekdays formula\"><\/p>\n<p>Highlight the number 1 in the formula and replace it with: COLUMN(). Then, press enter and select your first day. You&#8217;re going to copy the formula in Sunday&#8217;s cell by dragging the selector to the end of your row, (A-G), and pressing enter again.<\/p>\n<p><img fetchpriority=\"high\" decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hs-fs\/hubfs\/how-to-make-google-sheets-calendar-add-days.gif?width=650&amp;height=337&amp;name=how-to-make-google-sheets-calendar-add-days.gif\" alt=\"how to make a calendar in google sheets: add the rest of the days\" width=\"650\" height=\"337\" style=\"height: auto;max-width: 100%;width: 650px;margin-left: auto;margin-right: auto\"><\/p>\n<p>Pressing enter should automatically fill in the rest of the week. Remember, if this doesn&#8217;t work for you, you can always fill in the days manually.<\/p>\n<h3>4. Fill in the numbers.<\/h3>\n<p>Excellent! You have your days of the week. Now we&#8217;re going to fill in the numerical values. Before this step, I took the time to add color to the days row and changed the font to one I liked a little more.<\/p>\n<p>For the numerical values, we\u2019ll simply identify the first day of the month and click and drag to fill in the rest.<\/p>\n<p>How?<\/p>\n<p>Place the number 1 on the box right underneath the first day of the month, then click and drag horizontally. Depending on the day of the week, you may need to follow this process using the second day of the month so you can click and drag horizontally.<\/p>\n<p>For this example, we\u2019ll use Sunday as the first day of the month, but remember that the first day will vary from year to year.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hubfs\/calendar-google-sheets_10-webp.webp\" alt=\"how to make a google sheets calendar: fill in the day numbers\"><\/p>\n<h3>5. Fill in the rest of the numbers.<\/h3>\n<p>Note: In this step, I filled in the calendar numbers every other row to help with my formatting later.<\/p>\n<p>Now that you\u2019ve filled out your first row, it\u2019s time to fill in the rest. Manually insert the next number, then click and drag horizontally to fill in the rest.<\/p>\n<p>Repeat the process for the next rows. You\u2019ll insert the first number manually, then click and drag down the row. Here\u2019s what that looks like for the next row in January.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hs-fs\/hubfs\/how-to-make-google-sheets-calendar-add-numbers.gif?width=650&amp;height=298&amp;name=how-to-make-google-sheets-calendar-add-numbers.gif\" alt=\"how to make a calendar in google sheets: add the rest of the numbers\" width=\"650\" height=\"298\" style=\"height: auto;max-width: 100%;width: 650px;margin-left: auto;margin-right: auto\"><\/p>\n<p>Note: Make sure to end the month on the right number! For January, that would be the 31st.<\/p>\n<h3>6. Reformat your calendar if necessary.<\/h3>\n<p>Everything is starting to look like a calendar, right? At this stage, I reformatted things to clean up the look of my calendar a little.<\/p>\n<p>Remember those extra rows in between the numbered rows? I expanded those rows to create boxes underneath the numbers. To do this, I simply dragged the rows down to make those cells bigger.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hubfs\/calendar-google-sheets_8-webp.webp\" alt=\"how to make a google sheets calendar: reformat calendar\">Here are some additional formatting tips:<\/p>\n<ul>\n<li>Select the empty rows underneath your numbers and center them using the center text alignment tool.<\/li>\n<li>Select your entire calendar and vertically align all elements so that they\u2019re in the center of their cells. To do this, use the vertical alignment tool.<\/li>\n<li>Bold your day numbers.<\/li>\n<li>If desired, lightly shade your numbered rows.<\/li>\n<li>If desired, gray out the Saturday and Sunday columns so that your workdays stand out.<\/li>\n<\/ul>\n<h3>7. Add design elements to professionalize the look.<\/h3>\n<p>Finally, you can add in some fun design elements to personalize the look and feel of your calendar. If it&#8217;s for a client or upcoming project, you&#8217;ll want to incorporate the necessary launch days here.<\/p>\n<p>For this step, I added in a few fun images, included a few hypothetical calendar events, and played with font sizes.<img decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hubfs\/calendar-google-sheets_16-webp.webp\" alt=\"Completed Google Sheets calendar\"><\/p>\n<h3>8. Repeat the process from February to December.<\/h3>\n<p>It\u2019s time to repeat for the month of February to December. Simply duplicate your January calendar once you\u2019ve designed it how you want it to look. To do this, right-click the sheet\u2019s tab and select Duplicate from the menu.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hubfs\/calendar-google-sheets_4-webp.webp\" alt=\"Duplicate tab option in Google Sheets \"><\/p>\n<p>To fill in the numbers, you\u2019ll only need to know the beginning day, then click and drag to fill in the rest of the rows. Here are the first days for every month for the year <strong>2024<\/strong>:<\/p>\n<ul>\n<li><strong>January<\/strong>: Monday<\/li>\n<li><strong>February<\/strong>: Thursday<\/li>\n<li><strong>March<\/strong>: Friday<\/li>\n<li><strong>April<\/strong>: Monday<\/li>\n<li><strong>May<\/strong>: Wednesday<\/li>\n<li><strong>June<\/strong>: Saturday<\/li>\n<li><strong>July<\/strong>: Monday<\/li>\n<li><strong>August<\/strong>: Thursday<\/li>\n<li><strong>September<\/strong>: Sunday<\/li>\n<li><strong>October<\/strong>: Tuesday<\/li>\n<li><strong>November<\/strong>: Friday<\/li>\n<li><strong>December<\/strong>: Sunday<\/li>\n<\/ul>\n<p>Next, you\u2019ll want to know how many days you\u2019ll need to fill in. Here are the number of days you\u2019ll need for each month:<\/p>\n<ul>\n<li><strong>January<\/strong>: 31<\/li>\n<li><strong>February<\/strong>: 28 or 29<\/li>\n<li><strong>March<\/strong>: 31<\/li>\n<li><strong>April<\/strong>: 30<\/li>\n<li><strong>May<\/strong>: 31<\/li>\n<li><strong>June<\/strong>: 30<\/li>\n<li><strong>July<\/strong>: 31<\/li>\n<li><strong>August<\/strong>: 31<\/li>\n<li><strong>September<\/strong>: 30<\/li>\n<li><strong>October<\/strong>: 31<\/li>\n<li><strong>November<\/strong>: 30<\/li>\n<li><strong>December<\/strong>: 31<\/li>\n<\/ul>\n<p>And then, you&#8217;re done!<\/p>\n<p>It&#8217;s handy to use Sheets because you can open your calendar right on your browser. You can also keep track of your schedule in a place that&#8217;s separate from your phone.<\/p>\n<p>You can either make a calendar manually, as we covered above, or use a template, as we cover below. You can also insert a calendar into Google Sheets using an add-on.<\/p>\n<p>Google Sheets has a built-in timeline view that could be useful for calendar-making. By itself, though, it\u2019s not as useful. With the right add-on, you can insert a timeline-view calendar that contains all of your events.<\/p>\n<p>For this simple tutorial, we\u2019ll be using the add-on <a href=\"https:\/\/workspace.google.com\/u\/0\/marketplace\/app\/calendar_timeline_view\/361849401457\">Calendar Timeline View<\/a>.<\/p>\n<h3>1. Install Calendar Timeline View into Google Sheets.<\/h3>\n<p>Make sure you\u2019re logged into your Google account. Then, install <a href=\"https:\/\/workspace.google.com\/u\/0\/marketplace\/app\/calendar_timeline_view\/361849401457\">Calendar Timeline View<\/a> into your Google Workspace. Simply click Install in the upper right-hand corner.<\/p>\n<p>On a Google Sheets spreadsheet, you can also go to Extensions &gt; Add-ons &gt; Get add-ons. Search for Calendar Timeline View and install it from there.<\/p>\n<h3>2. Open the Calendar Timeline View sidebar.<\/h3>\n<p>On the Google Sheets sidebar, an icon will appear for the add-on we just installed. Click it to open up the sidebar.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hs-fs\/hubfs\/how-to-insert-google-sheets-calendar-timeline-addon.webp?width=250&amp;height=469&amp;name=how-to-insert-google-sheets-calendar-timeline-addon.webp\" width=\"250\" height=\"469\" alt=\"how to insert a calendar into google sheets: open calendar timeline view\" style=\"height: auto;max-width: 100%;width: 250px;margin-left: auto;margin-right: auto\"><\/p>\n<h3>3. Pull your Google Calendar events into Sheets.<\/h3>\n<p>With this add-on, you will pull your Google Calendar events into a Google Sheets timeline view.<\/p>\n<p>The best part? You can create a Google Sheets timeline for any date range, including the next month, quarter, or year. I recommend creating a different timeline for different quarters or half-years.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hs-fs\/hubfs\/how-to-insert-google-sheets-calendar-timeline-view-settings.webp?width=250&amp;height=343&amp;name=how-to-insert-google-sheets-calendar-timeline-view-settings.webp\" width=\"250\" height=\"343\" alt=\"how to insert a calendar into google sheets:  pull events\" style=\"height: auto;max-width: 100%;width: 250px;margin-left: auto;margin-right: auto\"><\/p>\n<p>In the sidebar, select a specific calendar (like your calendar, the US holiday calendar, or another calendar).<\/p>\n<p>Then, at the bottom, click Pull Events.<\/p>\n<h3>5. Clean up your calendar data.<\/h3>\n<p>At first, the result might look funky. The tool pulls in everything from your Google Calendar, including Zoom descriptions, which can make your timeline look cluttered.<\/p>\n<p>You can clean up the data that the tool pulled in, directly on the spreadsheet. For example, I deleted the event descriptions so that the descriptions didn\u2019t show up on my timeline.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hs-fs\/hubfs\/how-to-insert-google-sheets-calendar-raw-data.webp?width=350&amp;height=367&amp;name=how-to-insert-google-sheets-calendar-raw-data.webp\" width=\"350\" height=\"367\" alt=\"how to insert a calendar into google sheets: clean up data\" style=\"height: auto;max-width: 100%;width: 350px;margin-left: auto;margin-right: auto\"><\/p>\n<p>I also deleted the guests, because I didn\u2019t need them.<\/p>\n<h3>6. Enjoy your timeline Google Sheets calendar.<\/h3>\n<p>After you pull your Google Calendar events, the add-on automatically creates a timeline.
