They\u2019re stable and predictable, a revenue stream that the organization can count on for the duration of a contract.\u201d<\/p>\n<p>But do you know how long it takes to write a <em>single<\/em> grant application?<\/p>\n<p>Over 30 hours, and considering that grant writers usually get paid between $25 and $100 per hour, depending on their experience, it\u2019s a significant cost. That\u2019s why it\u2019s so important for nonprofits to decide <a href=\"https:\/\/blog.hubspot.com\/the-hustle\/small-business-grants\">which grants<\/a> to pick.<\/p>\n<p>Your organization can make it much easier for applicants to assess if they\u2019re the right fit for your project. Here are the most common obstacles.<\/p>\n<h3>Lack of Sufficient Information About the Procurement Process<\/h3>\n<p>The quality of your procurement process will impact the quality of the applications you receive. If you don\u2019t share enough information about it, like the timeline, budget, selection criteria, etc., then two things might happen:<\/p>\n<ul>\n<li>You will receive applications that aren\u2019t the right fit for the project.<\/li>\n<li>A lot of applicants who are the right fit won\u2019t take part in the process as they\u2019ll feel discouraged by the lack of clarity.<\/li>\n<\/ul>\n<p>The more detailed and logical your procurement process is, the higher the chances of receiving high-quality proposals.<\/p>\n<h3>RFP Grants Failing to Communicate the Vision Clearly<\/h3>\n<p>This is an RFP grant challenge that has come up the most frequently.<\/p>\n<p>Gauri Manglik, CEO and co-founder of <a href=\"https:\/\/www.instrumentl.com\/\">Instrumentl<\/a>, says that<span style=\"font-style: italic\"> <\/span>\u201cmany organizations struggle to articulate what specific issues they are trying to address and how the grant they offer will drive impact.\u201d<\/p>\n<p>What often happens is that RFP grant writers take a scattered approach instead of having a cohesive strategic framework. As a result, it\u2019s hard for founders who give out grants to evaluate the proposal\u2019s purpose and potential.<\/p>\n<p>Manglik adds that \u201cthe most effective RFPs have a sharply defined focus outlining the goals, target population, and theory of change for proposed activities.\u201d<\/p>\n<h3>Not Understanding the Legal Implications of the Grant<\/h3>\n<p>Grants often come with terms and conditions that must be followed to stay compliant. Failing to do so might result in penalties or even in grants being revoked.<\/p>\n<p>These terms and conditions should be clear and easy to understand to minimize the risk of breaching them.<\/p>\n<p>Jonathan Feniak, general counsel at <a href=\"https:\/\/llcattorney.com\/\">LLC Attorney<\/a>, says, \u201cWhen writing RFP grant proposals, it\u2019s crucial to understand the legal implications of the grant and factor any liabilities into your plan.<\/p>\n<p>If any IP is developed with grant funding, you must specify ownership rights to avoid potential conflicts with donors later.\u201d<\/p>\n<p>Feniak also notes that proposals should clearly outline your expectations, and you must agree<em> <\/em>on whether the charity or the investor owns its rights.<\/p>\n<p>\u201cGenerally, it\u2019s best to consult your legal team throughout the RFP writing process to manage the risks and clearly outline IP ownership,\u201d adds Feniak.<\/p>\n<h3>Ensuring clarity and specificity in the language used.<\/h3>\n<p>It\u2019s vital to use a language that is not only clear but also specific so it\u2019s easier for potential bidders to understand what\u2019s expected of them. This applies to the requirements, objectives, and expectations of the project.<\/p>\n<p>Kimberly Wall, co-founder of <a href=\"https:\/\/www.biblekeeper.com\/\">BibleKeeper<\/a>, says, \u201cThe challenge lies in articulating the project\u2019s goals, objectives, and expected outcomes clearly using words that are not really overwhelming the potential applicants with unnecessary details.\u201d<\/p>\n<p>Using the right language will eliminate confusion among nonprofits and make sure that their proposals accurately correspond to the needs of the RFP issuer.<\/p>\n<p><a><\/a> <\/p>\n<h2>The Anatomy of an RFP for Grants<\/h2>\n<p>RFPs for grants come in two forms: concise, short tables, where information is filled out in bullet points, and longer ones, which cover each section in detail.<\/p>\n<p>The former aims to give a high-level overview, while the latter is where applicants take a deep dive into their proposal.<\/p>\n<p>So, there isn\u2019t such a thing as an \u201cideal\u201d length for an RFP. These types of documents can take up multiple pages and usually function as downloadable PDFs.<\/p>\n<p>If you\u2019re wondering what elements grantors should include, then here\u2019s an RFP structure we recommend at HubSpot.<\/p>\n<p><strong>RFP: <\/strong>[Project Name]<\/p>\n<p><strong>Proposal Due By:<\/strong> [Date]<\/p>\n<h3>[Organization Name]<\/h3>\n<p>In addition to the name, this section could also feature a short overview of your mission. Don\u2019t include a long history of your organization. Instead, use this space to provide a bit of context on what it does and its target market.<\/p>\n<h3>Project Overview<\/h3>\n<p>A brief introduction to the project itself to let nonprofits know right away if it\u2019s something worth bidding on \u2014 no longer than 1-2 paragraphs.<\/p>\n<h3>Project Goals<\/h3>\n<p>This section identifies what you hope to accomplish through assigning funds to relevant organizations. Specify what you\u2019ll see as a \u201cwin\u201d so everyone is on the same page.<\/p>\n<h3>Scope of Work<\/h3>\n<p>A description of the project and a scope of work \u2014 either detailed, if it\u2019s a long RFP, or bullet points if it\u2019s short.<\/p>\n<h3>Current Roadblocks and Barriers to Success<\/h3>\n<p>In this section, mention any potential constraints that could either disqualify certain candidates or increase the operational complexity of meeting goals.<\/p>\n<h3>Evaluation Metrics and Criteria<\/h3>\n<p>Here, you outline how you\u2019re going to choose grantees. There are different approaches \u2014 some companies use simple \u201cyes\u201d or \u201cno\u201d evaluations to check if a proposal meets the project objectives.<\/p>\n<p>Other organizations use percentages to score more important criteria higher than others.<\/p>\n<h3>Submission Requirements<\/h3>\n<p>Exact guidelines bidders must adhere to.<\/p>\n<h3>Project Due By<\/h3>\n<p>If there is a specific project delivery date, mention it in the RFP. This will help you filter out applicants who can\u2019t guarantee completing it within the required timeline.<\/p>\n<h3>Budget<\/h3>\n<p>Here, you should include the target budget. Specify if this budget will be distributed among multiple organizations or assigned to a single grantee.<\/p>\n<h3>General Conditions of Contract<\/h3>\n<p>This could include information like:<\/p>\n<ul>\n<li>Applicant\u2019s legal status.<\/li>\n<li>Your stance on subcontracting.<\/li>\n<li>Indemnification, insurance, and liabilities.<\/li>\n<\/ul>\n<p>Some templates also suggest asking questions that you expect bidders to answer \u2014 these can serve as a way to further check their alignment with your mission.<\/p>\n<p><a><\/a> <\/p>\n<h2>How to Write an RFP for Grants<\/h2>\n<p>So, now that you know what goes into an RFP, let\u2019s learn how to write them. Below, I\u2019ll describe the steps you should take when tackling this paperwork.<\/p>\n<p>In each section, I\u2019ll work through the steps, as I build a mock RFP for sustainability nonprofits.<\/p>\n<p>My sample organization, Earthly Partners, is looking to fund sustainability projects based in the Southwestern United States. Identify the objectives.<\/h3>\n<p>In this step, I want to list all the key information, like goals, timeline, budget, and applicant profile.<\/p>\n<p>As you gather these, you\u2019ll likely come across some informational gaps or considerations that require expert knowledge, like legal considerations and grantor\/grantee obligations.<\/p>\n<p>This is an important preliminary stage, which should end with a complete list of information you\u2019ll need to evaluate bidders.<\/p>\n<h4>Testing It Out<\/h4>\n<p>So, what does my organization, Earthly Partners, want to accomplish? We want to focus on fighting climate change in the South West, particularly through drought relief and community advocacy.<\/p>\n<p>We are able to provide grants of up to $50,000 to each nonprofit.<\/p>\n<h3>2. Write an introduction.<\/h3>\n<p>Now, I want to provide a bit of information about the organization and the area we focus on. I may also include my organization\u2019s values, current challenges, and the problems we would like to address.<\/p>\n<h4>Testing It Out<\/h4>\n<p>Here is an example of an intro to Earthly Partners\u2019 RFP. Here, we highlight the mission that we focus on and a little bit about our mock organization\u2019s history.<\/p>\n<p><em>Earthly Partners is pleased to announce the availability of grant funding to support projects that align with our mission of environmental conservation and advocacy. <\/em><\/p>\n<p><em>Established in 2010, Earthly Partners has been dedicated to promoting eco-friendly practices, water conservation, and community empowerment. <\/em><em><br \/><\/em><em><br \/><\/em><em>We recognize the importance of fostering innovative solutions and collaborations within our community, and through this grant opportunity, we aim to support projects that demonstrate creativity, sustainability, and significant impact. <\/em><\/p>\n<p><em>We are most interested in projects focused on community advocacy for climate policies and drought relief.<\/em><\/p>\n<h3>3. Provide a project description.<\/h3>\n<p>This section should serve as a high-level overview. Potential applicants will look at it to quickly assess whether they can propose a relevant project within the required timeline and available budget.<\/p>\n<h4>Testing It Out<\/h4>\n<p>Here\u2019s my project description for my mock sustainability nonprofit:<\/p>\n<p><em>Grant Purpose: The purpose of this Request for Proposals (RFP) is to solicit proposals for projects that address environmental conservation, climate change mitigation, or sustainable development. <\/em><\/p>\n<p><em>We seek proposals that offer innovative approaches, foster community engagement, and contribute to the long-term sustainability and resilience of ecosystems and communities.<\/em><\/p>\n<p><em>Grant Details:<\/em><\/p>\n<ul>\n<li><em>Total Funding Available: $50,000<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Grant Duration: 12 months<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Grant Amount: Grants may range from $2,500 to $10,000<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Eligibility: Nonprofit organizations and community groups operating within the Greater Metropolitan Area are eligible to apply.<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Application Deadline: July 31, 2024.<\/em><\/li>\n<\/ul>\n<h3>4. List clear requirements.<\/h3>\n<p>Here, I can specify what exactly I need to know about the proposal. That includes asking the applicants for the project description and how it will help fulfill the goals of your grant.<\/p>\n<h4>Testing It Out<\/h4>\n<p>Continuing with the sustainability grant project from above, this section could look like the following:<\/p>\n<p><em>Proposal Guidelines:<\/em><\/p>\n<p><em>Applicants are invited to submit proposals that address the following key components.<\/em><\/p>\n<ul>\n<li><em>Project Description: Provide a detailed description of the proposed project, including its objectives, activities, target population, and anticipated outcomes.<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Project Impact: Clearly articulate the potential impact of the project on the environment or the local community. Describe how the project will contribute to positive change and address identified environmental or social needs.<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Innovation and Creativity: Highlight any innovative approaches or strategies proposed to address the identified environmental or social challenge. We encourage applicants to think creatively and propose solutions that may be outside traditional approaches.<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Sustainability: Demonstrate the project\u2019s sustainability beyond the grant period. Describe plans for ongoing funding, partnerships, and stakeholder engagement to ensure the long-term success of the project.<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Roadblocks to Success: Identify potential challenges or roadblocks that the project may face and describe strategies to overcome them. Consider factors such as regulatory hurdles, community resistance, funding constraints, or technical limitations.<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Budget and Timeline: Provide a detailed budget that outlines how grant funds will be used. Include a project timeline with key milestones and deliverables.<\/em><\/li>\n<\/ul>\n<h3>5. Include a submission deadline.<\/h3>\n<p>Here, I want to call out the deadline for submissions and explain my preferred way of submitting proposals.<\/p>\n<h4>Testing It Out<\/h4>\n<p>For Earthly Partners, I want to have proposals by the end of July. I call that out, along with my preferred submission format, below.<\/p>\n<p><em>Submission Instructions:<\/em><\/p>\n<p><em>Please submit your proposal electronically to [email address] no later than July 31, 2024. Proposals should be submitted in PDF format and include the organization&#8217;s name, contact information, and the title of the proposed project in the subject line.<\/em><\/p>\n<h3>\u200b\u200b\u200b\u200b6. Be clear on the evaluation factors.<\/h3>\n<p>It\u2019s important to explain all the elements your organization will pay attention to while evaluating applications.<\/p>\n<p>Applicants who do not meet your criteria will likely withdraw from submitting their proposal if they don\u2019t see they\u2019re a good fit. This, in turn, will help you pre-qualify organizations and shorten the selection process.<\/p>\n<h4>Testing It Out<\/h4>\n<p>For Earthly Partners, I want to explain how we plan to evaluate applicants and give an overview of next steps. This allows me to explain what projects are likely to receive funding and the timeline for these evaluations.<\/p>\n<p><em>Evaluation Process:<\/em><\/p>\n<p><em>Proposals will be evaluated based on the following criteria:<\/em><\/p>\n<ul>\n<li><em>Alignment with Earthly Partner\u2019s mission and grant objectives.<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Clarity and feasibility of the project proposal.<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Potential impact and sustainability of the project.<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Innovation and creativity of proposed approaches.<\/em><\/li>\n<\/ul>\n<ul>\n<li><em>Budget justification and cost-effectiveness.<\/em><\/li>\n<\/ul>\n<p><em>Notification:<\/em><\/p>\n<p><em>Applicants will be notified of funding decisions by August 31, 2024. Successful applicants will receive further instructions regarding grant agreements, reporting requirements, and funding disbursement.<\/em><\/p>\n<h3>7. Proofread and edit the document.<\/h3>\n<p>I use the editing process to make sure that all the necessary elements are included in my RFP and that the instructions are easy to follow.<\/p>\n<p>Failing to use easy-to-understand language might result in low-quality submissions. It\u2019s a good idea to ask a few of your colleagues for feedback to ensure you\u2019ve not missed any important details.<\/p>\n<p><a><\/a> <\/p>\n<h2>Best Practices for Writing an RFP for Grants<\/h2>\n<p>Here are a few considerations to take into account while preparing your RFP.<\/p>\n<p><img decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hs-fs\/hubfs\/best%20practices%20rfp.png?width=562&amp;height=374&amp;name=best%20practices%20rfp.png\" width=\"562\" height=\"374\" alt=\"best practices rfp\" style=\"height: auto;max-width: 100%;width: 562px\"><\/p>\n<p><img><\/p>\n<h3>Dedicate time to selecting the right eligibility and application criteria.<\/h3>\n<p>This is, arguably, the single most important section of your RFP \u2014 perhaps even more important than \u201cbudget,\u201d as NGOs will want to quickly assess their eligibility.<\/p>\n<p>Esther Strauss, co-founder of <a href=\"https:\/\/stepbystepbusiness.com\/\">Step by Step Business<\/a>, agrees:<\/p>\n<p>\u201cGiven the diversity of causes we support, from education to environmental conservation, finding a grant that provides the necessary funding and also aligns with our goals can be like searching for a needle in a haystack.\u201d<\/p>\n<p>Strauss says that, whenever applying for a grant herself, she needs to know if her organization can genuinely meet the grantor\u2019s requirements while staying true to the organization\u2019s objectives and values.<\/p>\n<p>The need to get the application \u201cright\u201d can also extend to selecting the right application format or method.<em> <\/em>\u201cThe pressure to get it right is immense, as these <a href=\"https:\/\/blog.hubspot.com\/the-hustle\/small-business-grants\" style=\"font-style: normal\">grants<\/a> can significantly impact our ability to serve our community,\u201d she adds.<\/p>\n<p>So, how can you make it easier for applicants to assess if they\u2019re the right fit and avoid application mistakes?<\/p>\n<p>Include clear information like:<\/p>\n<ul>\n<li>Only bidders who meet at least X out of Y criteria will be considered.<\/li>\n<li>Proposals must be sent in [FORMAT] by [DEADLINE]. Applications sent in through other channels will not be considered.<\/li>\n<li>Application needs to include a proposed schedule.<\/li>\n<li>Proposals must be shorter than [NUMBER] pages. Failure to comply with this guideline will result in an automatic rejection.<\/li>\n<\/ul>\n<p>For a real-life example, you can also look at this <a href=\"https:\/\/procurement-notices.undp.org\/view_file.cfm?doc_id=7844\">RFP proposal from the U.N.<\/a>, which keeps the requirement descriptions clear and concise.<\/p>\n<p>As you can see, the quality of the proposals and organization fit lies largely in your hands.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/blog.hubspot.com\/hs-fs\/hubfs\/grant%20examples.png?width=451&amp;height=633&amp;name=grant%20examples.png\" width=\"451\" height=\"633\" alt=\"grant examples\" style=\"margin-left: auto;margin-right: auto;width: 451px;height: auto;max-width: 100%\"><\/p>\n<p style=\"text-align: center;font-size: 12px\"><a href=\"https:\/\/procurement-notices.undp.org\/view_file.cfm?doc_id=7844\"><em>Image Source<\/em><\/a><\/p>\n<h3>Simplify negotiations by including key contract terms.<\/h3>\n<p>Earlier, I\u2019ve mentioned that many RFP grant writers struggle with translating legal requirements in the RFP.<\/p>\n<p><a href=\"https:\/\/senderoconsulting.com\/solving-the-most-common-rfp-mistake\/\">Wayne Tung<\/a> of Sendero wrote a great piece on this subject, encouraging RFP publishers to give it the same level of attention as requirements and scope.<\/p>\n<p>\u201cMany people do not include contract term requirements, such as legal and commercial terms, in RFPs. This results in prolonged negotiations,\u201d or even failed grants, he says.<\/p>\n<p>Featuring the main contract terms in the RFP shows respect for both parties \u2014 you as the project operator and the organizations seeking funding.<\/p>\n<h3>Sometimes, fewer questions are better.<\/h3>\n<p>I spent quite some time going through Reddit threads popular among the RFP community, and one of the most interesting points I\u2019ve seen was about question-fit.<\/p>\n<p>One Redditor, <a href=\"https:\/\/www.reddit.com\/r\/procurement\/comments\/1ajmvmb\/worst_rfp_questions_youve_ever_seen\/\">roger_the_virus<\/a>, blatantly says grantors should avoid \u201cuseless questions that won\u2019t provide helpful answers. I do my best to make sure we\u2019re not asking for a bunch of information we don\u2019t need and won\u2019t do anything with.\u201d<\/p>\n<p>That said, when it comes to questions, don\u2019t automatically discredit applicants who can\u2019t answer all of them.
